Frequently asked questions

Short answers about how Vibepax sends, what it stops for, and what it has access to.

Sending

Does Vibepax send mail from its own servers?

No. Vibepax sends through the Gmail API or Microsoft Graph using the mailbox you connected. Every message leaves from your own address and appears in your Sent folder. There is no shared sending domain.

Which mailboxes can I connect?

Vibepax connects Google Workspace and Microsoft 365 mailboxes on a custom domain. Personal addresses at gmail.com, outlook.com, and similar providers cannot be connected. Custom SMTP servers and app passwords are not supported.

Is it safe to send cold email from my Google Workspace or Microsoft 365 mailbox?

With Vibepax, mail leaves from your own domain: there is no shared sending domain, no warmup network, and no spintax. The risk to a mailbox comes from volume, bounces, and complaints. So Vibepax verifies addresses before sending, keeps each mailbox inside a daily limit with a ramp for new mailboxes, and stops on a reply, a bounce, or an unsubscribe. A mailbox on a second domain keeps your main domain out of it.

Should I send from my main domain?

You can connect a mailbox on your main domain to Vibepax, but a mailbox on a second domain keeps your main domain out of the picture if something goes wrong. Connecting it works the same way.

How many emails can I send per day?

You set a daily limit for each mailbox. New mailboxes start lower and ramp up. Vibepax schedules within those limits and within business hours in the recipient's time zone.

What is the Gmail sending limit for a Google Workspace mailbox?

Google limits each Google Workspace user to 2,000 messages a day, and to 500 a day during a trial, according to its page on Gmail sending limits in Google Workspace (checked in September 2026). Vibepax adds its own cap on top: you set a daily limit for each mailbox, and a new mailbox ramps up to it over its first four weeks.

What is the difference between warmup and a ramp?

Warmup networks are pools of mailboxes that send each other messages and staged replies, so that a new mailbox looks active to filters. A ramp only limits volume. With Vibepax, a new mailbox starts at a quarter of its daily limit, moves to half in the second week and three quarters in the third, and reaches the full limit in the fourth, sending real mail only. Vibepax does not use warmup networks, which go against mailbox providers' policies.

Does Vibepax check SPF, DKIM, and DMARC?

Yes. When you connect a mailbox, Vibepax checks the DNS records of your domain: MX, SPF (including the limit of 10 DNS lookups), DKIM for your mail provider, and DMARC. It shows what is missing or misconfigured, such as a missing record or a DMARC policy of none. Vibepax reports these problems; it does not change your DNS.

Can I import a list from Apollo?

Yes, as a CSV file. Export your list from Apollo and upload it to Vibepax. Apollo's column headers are matched to fields automatically, and extra columns become merge fields. Vibepax does not connect to Apollo's API in the current version. Every imported address is checked for syntax, mail server records, free-mail and role accounts, duplicates, suppression, and country.

Which countries can I send to?

Vibepax sends to recipients in the United States. You can use Vibepax from any country: the rule is about where your recipients are. Other countries are added one at a time, as the rules of each are built into the product. Contacts in a country that is not yet open are held back at import.

Replies, bounces, and unsubscribes

What happens when someone replies?

Vibepax stops sending to that person in every campaign of your organization. Replies are matched by thread, and by sender address when the reply arrives outside the thread.

What about out-of-office replies?

Vibepax recognizes automatic replies from message headers and delays the next step by seven days, which you can change. An automatic reply without those headers is treated as a reply from a person, and the sequence stops.

What happens when an address bounces?

Vibepax stops the sequence for that address and adds it to your suppression list, so it is not mailed again. An address that does not exist is also blocked for every Vibepax customer.

Can I remove the unsubscribe link?

No. Every mail sent through Vibepax carries an unsubscribe link and the standard unsubscribe headers. You can change the wording of the link, not remove it. An unsubscribe applies to your whole organization.

What happens if a send fails?

Vibepax never sends the same mail twice. A send that fails for good is shown as failed and is not repeated. A temporary failure, such as a limit at the provider, is tried again later. When it is uncertain whether a send went through, Vibepax does not send again: it looks in the mailbox's sent mail to find out.

Access and data

What can Vibepax see in my mailbox?

Vibepax can send mail as you and read message headers, such as sender, thread, and date. It does not ask to read message text, attachments, contacts, calendar, or files. Reading message text is a separate permission you can grant later.

What OAuth scopes does a cold email tool need?

To send mail and to notice replies, a tool needs permission to send and to read message headers. Vibepax asks for gmail.send and gmail.metadata on Google Workspace, and Mail.Send, Mail.ReadBasic, and offline_access on Microsoft 365, plus the basic sign-in scopes openid, email, and profile. It does not ask for gmail.readonly, gmail.modify, or full mailbox access, so it cannot read message text or delete mail.

How are my mailbox credentials stored?

Vibepax never sees your password. Connecting uses OAuth, and the resulting tokens are encrypted with a key held in a key management service. Tokens are never sent to the browser or written to logs.

Does Vibepax store the emails it sends?

Vibepax stores the templates you wrote and the facts about each send: when, from which mailbox, to which contact, and with what result. The mail itself is rendered at send time and lives in your own mailbox.

Writing and tracking

Does AI write to each recipient individually?

No. AI drafts a template with merge fields from your description of the offer. No recipient data is sent to the AI provider. You approve or rewrite every step before anything is sent.

Does Vibepax use my data to train AI models?

Vibepax does not train AI models. It uses AI only to draft templates, and the only text sent to the AI provider is what you wrote: your description of the offer and the earlier steps of the sequence. No contact, recipient, or mailbox data is sent. You approve or rewrite every draft before it is used. How the provider handles the text it receives is set by its API terms, and the providers will be listed in the privacy policy.

Does Vibepax track opens?

No. No tracking pixel is added. Click tracking is optional, and clicks made by security scanners are separated from clicks made by people.

Is open tracking reliable, and does Vibepax use it?

Open tracking adds a small remote image to each email and counts when it loads. Those counts are unreliable: some mail apps load images automatically, and security scanners open messages before people do. Vibepax adds no tracking image to your mail and stores no open events. A reply, which Vibepax does detect, is the reliable signal.

Account

How do I sign in?

You sign in to Vibepax with a Google Workspace or Microsoft 365 work account, or with a work email address and a password once the address is confirmed. Personal addresses are not accepted.

Will my Google Workspace or Microsoft 365 administrator need to approve Vibepax?

It depends on your organization's settings. Google Workspace and Microsoft 365 administrators can restrict which third-party apps may access mailboxes. If yours does, an administrator has to allow Vibepax before you can connect a mailbox. During early access, Google may also show a notice that the app has not been verified by Google yet.

How much does Vibepax cost?

Vibepax plans are not published yet. The product is in early access.
