What Vibepax does, stage by stage
A sequence passes through the same stages every time. This page describes what happens at each one.
Lists and verification
A list starts as a CSV file. Vibepax matches its columns to fields, including the headers of an Apollo export, and keeps extra columns as merge fields.
Checks at import
- The address is well formed.
- The domain has mail server records.
- The address is not at a free-mail provider.
- Role addresses such as info@ or sales@ are flagged as risky.
- Duplicates in the file and in your organization are merged.
- Suppressed addresses are rejected.
- The recipient's country is open for sending.
Every contact ends up valid, risky, invalid, or held, with the reason shown.
Writing and approval
A sequence has a first mail and up to five follow-ups. Each step is a template with merge fields such as the first name or the company.
AI can draft a step from your description of the offer. It uses only what you typed and no recipient data.
The linter runs before you can approve
- Number of links
- Length of the subject and the body
- Merge fields that do not exist or have no fallback
- Subjects that pretend to be a reply or a forward
- Images and attachments
The footer and the unsubscribe link are added by Vibepax, not by the template, and cannot be removed.
Scheduling
Vibepax plans every send ahead of time and spreads them through the day with irregular gaps.
- A daily limit per mailbox, which you set.
- A ramp that raises the limit gradually for a new mailbox.
- Business hours in the recipient's time zone.
- The weekdays you choose, with public holidays skipped if you want.
- A wait of several days between steps, set per step.
One thread
Follow-ups are sent as replies to the first mail, with the headers that mail clients use to group a conversation. The recipient sees one thread that gets longer, and their reply lands in it.
Stop rules
Right before each send, Vibepax checks the suppression list, the country rule, the state of the mailbox, and whether a reply has arrived in the meantime. If any check fails, the mail is not sent.
Click tracking
When you turn it on, links are replaced with tracking links that redirect to your page. The destination is stored on our side and is not part of the link, so a tracking link cannot be pointed anywhere else. Clicks by security scanners are counted separately from clicks by people.
Results
For each campaign you see how many mails were sent and delivered, and the rates of replies, bounces, unsubscribes, and clicks.
- Median time to reply
- Which step the replies came after
- Reply rate by weekday and hour
- Sends, bounces, and errors per mailbox
Rules by country
The rules of each country are kept as data: whether sending is open, what the footer must contain, and which holidays to skip. A country is opened by adding its rules, not by changing the product.
What Vibepax does not do
Some common features of outreach tools put your domain at risk. They are left out on purpose.
- Warmup networks
- Pools of mailboxes that exchange staged replies go against mailbox providers' policies.
- A shared sending domain
- Mail leaves from your own address and domain, never from one shared with other customers. Only unsubscribe and tracking links use a Vibepax link domain.
- Open tracking
- No tracking pixel is added to your mail. Click tracking is optional and off by default.
- A contact database for sale
- Vibepax does not sell contact data and does not collect it from LinkedIn.
- Spintax
- Mail is not shuffled into random variants to get past filters.
- Personal mailboxes
- Addresses at gmail.com or outlook.com cannot be connected as senders.
